Commercial Administrative Assistant (Summer Student)

The Commercial Administrative Assistant is responsible for providing administrative and records management support to the Commercial team by maintaining electronic and paper-based records, administering security-related searches and registrations, and tracking insurance, mortgage, and term renewals. The role also supports reporting, follows up on outstanding documentation with internal and external partners, and assists with day‑to‑day administrative tasks while ensuring accuracy, confidentiality, and compliance with record‑keeping practices.

 

Key responsibilities of the role include:

1. Records Management / Administrative Support

  • Maintain filing systems of department records (electronic and paper)
  • Conduct searches under PPSA, Corporate Registry, property taxes and administers security registrations and renewals
  • Maintains systems for fire insurance, mortgage, and term renewals
  • Follows-up on any outstanding security documentation with lawyers, insurance companies, etc.
  • Actions daily, weekly, monthly administrative reports
  • Provide support to team as required

 

The ideal candidate will be a postsecondary student enrolled in Business, Office Administration, or related program for Fall 2026. The ideal candidate will also have the following skill set:

  • Strong attention to detail and accuracy
  • Excellent organizational skills
  • Ability to work independently and stay focused
  • Comfortable handling confidential and sensitive information
  • Basic computer proficiency and ability to learn digital filing systems
  • Reliable, responsible, and able to follow established processes
  • Strong time‑management skills
  • Problem‑solving ability when identifying missing or incomplete documents

 

This is a full-time summer student position based out of our Oak Hall branch and set at 37.5 hours of work per week. The term for this position will be from May 25, 2026 to August 28, 2026, with an hourly rate of $20.00.
